This article contains the most commonly asked questions regarding Client Access.

How can I convert a lead or a contact into a new client and project?

In the Contacts or Leads section of CoConstruct, search for the specific lead. Click the +New Project button at the bottom of the contact's details.

Fill out the project details and click Save.

By default, your clients will not receive an invite or be able to access CoConstruct. Click the banner to "invite" your client to CoConstruct before saving the project, or go back to the project's Setup page later on to send that invite and turn on access.

What video do clients see to help them get started?

When clients first log into their accounts, the system prompts them to watch this overview video:

While this video talks about the benefits of CoConstruct, it is meant to be used with clients after they have access.

How do I edit a client's name?

To edit a client's name, navigate to the Project Setup page. In the client's section, click the three dots next to the name you'd like to change, then click Edit. After making changes to the client's name, click Save to close the pop-up, then Save again at the bottom of the Project Setup page.

 

You can also edit a client's email address, phone number or alert settings from this screen.

If you are replacing the client with a completely new contact, rather than editing the information, you'll want to remove the current client and add the new contact fresh.

How do I remove a client from a project?

To remove a client from a project, navigate to the Project Setup page. In the Clients section, click the three dots next to the client you'd like to remove, then click Edit. Click Remove, and click the Save button at the bottom of the Project Setup page. 

Once a client is removed, they no longer have access to CoConstruct. Any history of the client's comments, selection decisions, or approvals will remain. The client's information will also remain in your contacts.

How do I change which of my clients on a project is able to clear updates?

Navigate to the Project Setup page. In the Clients section (and if there is more than one client attached to the project), click Make Primary next to the client who will be responsible for clearing updates. 

CoConstruct will not send a notice that client, so you may want to post a message to let that client know they can now clear updates.

How can a client change their personal settings?

Clients with login access can adjust their settings using the Settings tab at the top right of their main menu. From there they can change their passwords, enable instant alerts, and set how often they want to receive summary emails.

Can clients post files?

Clients can post files in all of the same ways that builder users can post files to a project.

This includes:

  1. Navigating to the Project Files page of their project and using the file upload feature.
  2. E-mailing the files into the Project Files page of their project as attachments using the project-specific file/photo e-mail address.
  3. Adding files to selection items from the Selection Sheet page of their project.

Any files that a client uploads will be visible to the clients and builders on that project by default. You can choose to share files with partner users who have web access on the project as well.

Can clients attach photos?

Clients can attach photos in all of the same ways that builder users can.

Any photos that a client uploads will be visible to the clients and builders on that project. As a builder, though, you can choose to share those photos with partner users who have web access on the project as well.

Can clients see files that I post?

Clients can see any files that you have posted, as long as the client visibility is on for that file.

To hide a file from the client, uncheck sharing With Clients before you finish uploading the file.

Can clients see files on Selection items?

Clients may be able to see certain files on the selection item. To check, click the Edit link next to the item.

In the Related Files section, any file with a green client icon (the picture of the 2 people holding hands) will be visible. To hide the file, click on the Hide link next to the icon.

Can my clients see the Schedule?

You can control whether your clients can see the schedule on a project-by-project basis. To check or change the setting for a project, navigate to the Project Setup page.

On the Project Setup page, you will see the option for changing whether the clients can see the schedule calendar.

If this access is enabled, your clients will be able to see the calendar view of the project, with the task names and percent completion. They will not see your assignees, public/private notes, or file/photo attachments. Note that they will also only see the currently published schedule, so if you have been working on a schedule and saved your changes to a new draft, those will not be reflected on the client's view.

If the clients cannot see the schedule, they will still see a list of the milestone names from your Published Schedule, with checkmarks next to any that are 100% complete. However, the clients will not see any dates for these milestones.

Can clients view comments on the published Schedule?

No, clients cannot view or participate in comment exchanges on the Published Schedule. This is private for your builder team and trade partners.

If you have shared the schedule with your clients, they see a limited read-only view that will provide task names, start & finish dates, and work days.

Do my clients see Schedule milestones?

If you are sharing the project's schedule (either the calendar or the Gantt view) with your clients, they will see the completion percentage for each milestone, along with the anticipated finish date.

Otherwise, if you have not shared the schedule, your clients will still see the list of milestones, with check marks to indicate work that has been completed, or full circles to indicate work that has started. Your clients will not see percentages or anticipated finish dates if the schedule has not been shared with them.

Does the clients' milestone list update automatically?

Yes, the clients' milestone list will update automatically as a result of your manual updates to the schedule. Check marks will appear next to each milestone on the clients' main menu once you have updated that all of a milestone’s corresponding tasks are 100% complete.

It is very important to keep your schedule updated, since, among other things, it prompts your clients for selection to be made in a timely fashion.

Can my clients see Selection prices on other projects?

No, your clients can only see information about their own home. Even though you can access all of your projects in one place, the clients will be unable to see anyone else’s information.
