Populating Your Performance Dashboard

The Performance Dashboard pulls information from your currently active projects to provide you with detailed reports on important metrics for your projects and teams.

Here is the important key information each widget is looking at and how to populate the information for that report:

Projects in Flight

This widget displays your current active schedules compared to the baseline schedules for each project to show you how behind or ahead schedule your jobs are currently running.

To populate this widget, you'll want to do a few things:

Financials

Estimated vs. Projected Profit

This widget will display the current financial status of your projects based on how much you estimated to make on the job compared to what your currently set to make on the project given selections, change orders and actuals.  To populate this widget accurately, you'll need to:

Unapproved Selections

This widget is designed to show you the financial impact of Selections that have been decided but have not yet been approved by Change Orders.  These details are especially important for Fixed Price projects to ensure you have a contractual agreement for Selections that are over the client's allowance.

Issuing Change Orders is crucial to ensure final approval of Selections and enable those overages to be invoiced to the client.  This widget will help your team stay on top of timely approvals and invoicing for selection overages so that you don't leave revenue unaccounted for.

Operations

The Operations section of the dashboard is designed to help you keep your projects on track with two key metrics - keeping schedule tasks up-to-date and recording selections on time.

Schedule Task Status

This widget will provide an overview of completed, overdue, upcoming and open tasks for each of your active project schedules.  This will allow you to view the completion status of each project as well as monitor overdue tasks to ensure that your team is on top of completing tasks that are finished or updating tasks to reflect variances in the schedule.

The widget will also provide an overview percentage of overdue tasks so that you set KPI's for your team around schedule updates.

Keeping your schedules up-to-date is an important task that ensures your team and trade partners stay on track and that you have an accurate view of where each project is.  To populate this widget:

Selection Status

Timely selections from your clients are also important for keeping your projects on track to ensure that items are ordered and delivered in time to stay on schedule.  This widget will show you the current status of selections on your active projects to stay on top of decided, overdue, upcoming and remaining selections.

To populate this widget:

  • Set up Selections on your projects for choices that need to be made by your client throughout the project
  • Set deadlines for your Selections to ensure your clients and team are aware of when choices need to be made to keep the project on track
  • Engage your clients in the system to make choices in a timely manner

Process Compliance

Your team in the field plays a huge role in successful completion of your projects and ensuring that the key players outside of the field stay updated on progress, issues and important events.  Establishing processes for your team to keep information in your projects updated is a great way to ensure you know about these events and can keep track of your jobs easily.  Two main ways to ensure the right information is communicated is to ensure your team is updating the schedule regularly and recording job logs.

Schedule Updates

This widget will display an overview of which of your schedules have been updated over the last week helping you ensure that your teams are regularly updating the schedule by completing tasks that have been finished, updating tasks that are ahead or behind schedule and adding tasks based on changes in the project.

To populate this widget:

  • Set a standard process for your teams on when they should be updating the schedule
  • Ensure that at least on person on each job site is responsible for recording updates to tasks

Job Log Updates

This widget displays daily job log updates on each of your projects.  A daily job log is a great way to communicate deliveries, issues, site visits and employee/trade work on the job each day.  Notes and photos on the Job Log can be shared with clients as well to keep them informed of the progress of their job.

To populate this widget:

Customer Engagement

Keeping your customers engaged in their project is a great way to ensure that things are communicated effectively, decisions and approvals are completed on time and that your clients are happy with the progress of their job.

Client Interactions

This widget helps you monitor the level of activity each of your clients has within the system.  This information is helpful in allowing you to nudge unengaged clients and remind them of the importance of staying on top of updates, communications and approvals so that they stay informed and fulfill their side of keeping the project moving.

To populate this widget:

  • Introduce your clients to CoConstruct at the beginning of the project to portray the importance and value of up-to-date, immediate information on their job
  • Encourage your clients to log in regularly to check for updates
  • Communicate with your clients through CoConstruct when you have questions or important updates and encourage your clients to do the same
  • Keep your clients on top of using CoConstruct to record their selection choices and sign off on approval documents

Client Communications

Having your clients communicate through CoConstruct is the best way to ensure that communications are engaging the appropriate parties and everything is recorded and organized to prevent miscommunications.  This widget will help you keep track of recent client communications and monitor which of your clients are remaining engaged with you and your team.

To populate this widget:

  • Always communicate with your clients through the CoConstruct system
  • Require that your clients post or respond to all communications, questions or concerns for you and your team through the system or through responses to email notifications
